Summary of Duties

The Assistant Administrative Officer (AAO) is responsible to the Administrative Officer (AO) and the Dean of Faculty for managing administrative and human resource functions within the Faculty. The Assistant Admin Officer will also assist with administrative tasks for other members of the Faculty Team as needed.

Main Duties and responsibilities

  • Answer and direct phone calls.
  • Maintain contact lists.
  • Distribute correspondence (memos, letters, faxes, and forms) as designated by the AO or Faculty Team.
  • Develop and maintain an organized filing system.
  • Provide general support to visitors.
  • Respond to inquiries by providing information and assistance.
  • Manage office supplies inventory, including checking stock levels, anticipating needs, placing orders, and verifying receipt of supplies.
  • Perform administrative tasks such as filing, typing, copying, binding, and scanning.
  • Draft letters and emails on behalf of office staff. Please refer to the job description for more information.

Minimum Qualification and Experience Requirements:

To be considered for this position, applicants must have:
A Certificate in Finance & Administration

Essential to the position

  • A minimum of 1-3 years’ work experience in a similar working environment
  • Well written and oral communication and interpersonal skills
  • Ability to provide and a strong commitment to effective and timely client service
  • Have demonstrate ability to work under minimum supervision and meet deadlines
  • Demonstrated ability to deal with tact and confidentiality highly sensitive issues
  • Have a good office organizational management and administrative skills
  • Be a team player and have the ability to work in teams
  • Have good skills in the use of computer applications
  • Be punctual for work

Terms and Conditions

This is a full-time position with a contract term of five years, renewable based on performance and mutual agreement.
