Summary of Duties
The Coordinator for SMS Course Administration and Data is responsible for the effective management of the SMS Course Administration and Data section within Student Academic Services. This role involves overseeing daily operations in alignment with the Student Management System (SMS) and ensuring the integrity and accuracy of course and student data.
Duties & Responsibilities
- Manage day-to-day operations of the SMS Course Administration and Data section.
- Collaborate with schools and institutes regarding newly approved courses and units by the Senate.
- Supervise the SMS Course Administration and Data Team.
- Set up all CSP transactions within the SMS.
- Establish course and unit availability for each semester.
- Maintain study period details and establish study package structures for approved courses.
- Generate course structure and planning reports.
- Determine student numbers for graduation gown orders.
- Develop and implement procedures for effective course data management. Please refer to the job description for more information.
Minimum Qualification and Experience Requirements:
To be considered for this position, applicants must have:
- A Master's or Postgraduate qualification, or a Bachelor's degree in a relevant discipline, along with equivalent expertise through experience, training, or professional accreditation.

- Strong knowledge of database and student records management.
- At least 3 years of administrative experience, preferably in a tertiary institution.
- Proven ability to manage staff and enhance their performance.
- Excellent written and verbal communication skills.
- Commitment to effective and timely client service.
- Ability to work independently and meet deadlines.
- Experience handling sensitive issues with discretion.
- Strong organizational and administrative skills.
- Proficient in computer applications.
Desirable
- Willingness to work outside regular hours to complete tasks.
- Demonstrated ability to meet deadlines and work with minimal supervision.
- Strong office organizational and administrative skills.
- Team-oriented mindset.

Terms and Conditions
This is a full-time position with a contract term of five years, renewable based on performance and mutual agreement.
