Position Title: Maintenance Planning and Warehouse Administrator
Reports To: Manager Supply
Location: Honiara Office, Solomon Islands
Employment Type: Full-time
Position Purpose
The Maintenance Planning and Warehouse Administrator is responsible for coordinating maintenance schedules using the MEX CMMS system, managing warehouse operations, and providing inventory management support. Based in the Honiara Office, the role serves as the central hub for maintenance planning and supply chain support to remote sites, ensuring efficient operations and timely delivery of materials.
Key Accountabilities
1. Maintenance Planning
o Develop and maintain detailed maintenance schedules for equipment and assets in the MEX CMMS system.
o Coordinate with remote site teams to ensure timely execution of maintenance tasks, including preventive, corrective, and shutdown activities.
o Monitor and update work orders, ensuring all documentation, job instructions, and task lists are accurate and accessible.
2. Warehouse Operations
o Manage day-to-day warehouse activities at the Honiara Office, including receiving, storage, and dispatch of materials and spare parts.
o Ensure that critical spare parts and materials are packaged and supplied to remote sites as required.
o Maintain a safe and organised warehouse environment, optimising layout and storage practices.
3. Inventory Management
o Monitor inventory levels to ensure availability of required materials for Honiara and remote sites.
o Use MEX to track stock, set reorder points, and generate inventory replenishment reports.
o Support remote sites in managing their inventory needs and addressing supply gaps.
o Perform regular stock checks and resolve discrepancies in inventory records.
4. Data Management and Reporting
o Generate and analyse reports on maintenance schedules, inventory levels, and warehouse performance.
o Track key performance indicators (KPIs) and provide actionable insights to improve operations. Reports to utilise MEX standard reporting systems
o Maintain accurate and timely data in MEX and inventory management systems.
5. Safety and Compliance
o Promote and enforce adherence to workplace safety policies in Honiara and at remote sites.
o Ensure compliance with relevant GRPSI and Associates regulations for maintenance and inventory activities.
o Conduct regular inspections of the warehouse to identify and mitigate potential risks.
6. Collaboration and Communication
o Act as the central point of contact between Honiara and remote site teams for maintenance planning and inventory support.
o Facilitate effective communication to address remote site needs and resolve issues promptly.
o Participate in planning meetings and support continuous improvement initiatives.
Qualifications and Experience
- Education:
Experience:
o At least 3-5 years of experience in maintenance planning, warehouse operations, or inventory management.
o Hands-on experience with MEX CMMS or similar systems is essential.Skills:
o Strong organisational and time management skills.
o Excellent communication and problem-solving abilities.
o Knowledge of maintenance practices and supply chain principles.
o Proficiency in Microsoft Office Suite (Excel, Word, etc.).

- External: Suppliers, contractors, service providers
